This role requires a high level of professionalism in dealing with senior business leaders inside and outside the organization, and a high level of integrity and discretion in handling confidential information. The successful candidate will possess the ability to complete tasks quickly with little guidance, react with appropriate urgency to situations that require a quick turnaround, take effective action without having to know the total picture, and have the ability and desire to thrive in a fast-paced environment. The ideal candidate must be able to work successfully in a team environment and build effective working relationships inside and outside the group.

Key responsibilities include: (Responsibilities include, but are not limited to the following)

  • Ownership of our CEO’s calendars
  • Perform office management duties such as: receive correspondence, reserve office space, stock up the office with supplies
  • Organize, execute, participate and assist with organizational / team activities (On-Site or Remote)
  • Assemble domestic and international travel briefings for business trips including travel information, meeting agendas, presentations, background and/or meeting materials, etc.
  • Management of complex calendar and scheduling to support teams in multiple locations (globally)
  • Assisting with presentations and a variety of other day-to-day administrative tasks on behalf of the supported leaders.
  • Coordinate complex meetings and projects
  • Track and help drive completion of key deliverables
  • Varied administrative and operations work

Basic Qualifications

  • 5+ years of experience assisting at the leadership level
  • Fluent Verbal/Written communication skills - English / Spanish or Portuguese
  • Solid experience with Google-Suite (Gmail, Calendar, Docs, etc.); communication platforms such as Slack, and task management tools such as Trello.
  • Ability to thrive in an accelerated environment, think creatively, and produce innovative solutions
  • Demonstrated communication and presentation skills, with an ability to express high-level concepts efficiently and effectively to a wide range of audiences
  • Ability to adapt to changing priorities

Preferred Qualifications

  • Previous experience in the hospitality industry
  • Previous experience organizing and planning events
  • Previous experience in a fast-growth tech company
