Employee Experience & Workspace- Intern

The Objective for this role is be the primary point of contact for the Yaleres and support the People Team in maintaining a productive and positive workplace environment.

What will be your activities?

  • On-site point of contact for the Yaleres.
  • Building relationships in order to facilitate a sense of belonging.
  • Anticipate member and guest needs before they arise using relevant information collected about members to enhance and personalize their experience.
  • Answer any questions from Yaleres related to the building including way-finding, policies and procedures, community etiquette, etc.
  • Serve as the point person for office assistant duties: maintenance, mailing, supplies, equipment, errands, among others.
  • Organize the office layout and order stationery and equipment.
  • Maintain the office condition and arrange necessary repairs.
  • Partner with HR to update and maintain offices as necessary.
  • Organize office operations and procedures.
  • Coordinate with the IT department on all office equipment.
  • Assist in the onboarding process for new hires.
  • Address employees' queries regarding office management issues (e.g. stationery, Hardware, and travel arrangements).
  • Liaise with facility management vendors, including cleaning, catering, and security services.
  • Plan in-house or off-site activities, like parties, celebrations, and conferences.

  • University students taking courses related to Administration, Psychology, Human Resources, or similar areas.
  • Basic knowledge of Microsoft Office, especially Excel and Word.
  • Intermediate English and/or Spanish.
  • Ability to work collaboratively with different teams and people with different expertise and backgrounds.
  • Strong people-oriented skills.
  • Excellent written and verbal communication skills in Portuguese and English.
  • Proactive and hands-on mindset.
  • Someone resilient that thrives in a fast-paced environment, that can easily adapt to lack of fixed routine.
  • Availability to work in the São Paulo office
  • Plus: Experience in supplier management, Facilities, Events coordination (internal & external)
