Job Description: Billing Operations Specialist

Team: Billing

Reporting: Senior Account Manager

As a Billing Team Member, you will play a crucial role in ensuring the efficient and accurate billing process within our organization. You will work as part of a team responsible for generating invoices, processing payments, resolving billing inquiries, and maintaining billing related records. Your attention to detail, strong organizational skills, and the ability to work collaboratively with other team members are essential to the success of this role.

Specific Duties And Responsibilities

  • Customer Communication:
    • ○ Manage billing-related communications using the Front email platform
    • ○ Respond to customer inquiries and resolve billing issues promptly and
    • professionally
    • ○ Send regular billing notifications and reminders to customers
    • ○ Provide excellent customer service by answering questions and clarifying billing
    • discrepancies.
  • Billing Management:
    • ○ Oversee the monthly billing cycle using Chargebee, ensuring accuracy and
    • timeliness
    • ○ Generate and review invoices for completeness and accuracy
    • ○ Manage subscription plans, upgrades, downgrades, and cancellations in
    • Chargebee
    • ○ Ensure timely collection of payments
    • ○ Managing disputed payments
    • ○ Reconcile billing data with accounting records
  • Reporting:
    • ○ Prepare and maintain financial reports related to billing activities
    • ○ Analyze billing data to identify trends, discrepancies, and areas for improvement
    • ○ Collaborate with the finance team to provide insights and support
    • decision-making
    • ○ Build reports on Google Sheets and/or Microsoft Excel

  • Collaboration:
○ Collaborate with other departments, such as Sales, Customer Success, and Finance, to gather accurate billing information and address billing-related concerns

  • Process Improvement:
  • ○ Identify opportunities to streamline and improve billing processes
  • ○ Assist with the integration of billing processes across Chargebee, Front, and
  • Hubspot Required Qualifications:
  • A bachelor's degree in Commerce or Finance.
  • Prior experience in billing, accounting, or a related field is preferred, but we also
  • welcome fresh graduates who are eager to start their careers and are willing to learn.
  • Strong attention to detail and numerical accuracy.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills
  • Excellent Microsoft Excel skills
